JOB DESCRIPTION

As a key member of the Finance & Accounting Department, the Accountant will report to the department’s Sr. Director, Finance & Accounting. The Accountant will play a critical role in SHPE’s financial well-being by providing support in Accounts Payable, Accounts Receivable, Payroll, Journal Entry Creation, Financial Reporting and, financial record maintenance. The position will also be critical in ensuring SHPE’s organizational assets are safeguarded and that SHPE’s financial internal controls are executed properly.

 

RESPONSIBILITIES
Finance Performance

  • Support the development of finance organizational strategies by contributing financial and accounting information, analysis, and recommendations to strategic thinking and direction; establishing functional objectives in line with organizational objectives.
  • Make decisions to modify or adapt procedures to the Sr. Director, Finance and Accounting that will strengthen the overall financial control environment of the organization to meet different or changing circumstances.
  • Support the timely preparation of monthly, quarterly and annual financial reports that accurately reflect the financial position of the organization.
    Identify and present financial risks related to SHPE’s internal controls and processes. Make recommendations to the Sr. Director, Finance and Accounting on appropriate action for resolution.
    Provide technical support in developing and preparing budgets, budget modifications and amendments and other supporting financial analyses and schedules required for ongoing grant/contracts and proposals for additional funding.
    Other related duties as assigned or as becomes evident

Accounts Playable and Receivable

  • Monitor financial performance by measuring and analyzing results; initiating corrective actions; minimizing the impact of variances.
  • Optimize utilization of the accounting software. Streamline financial and data tracking systems.
  • Support new accounts payable vendor set-ups and requests for direct billing applications.
  • Create new invoices, enter them into QuickBooks, and release them to the vendor.
  • Review incoming electronic payments/deposits and prepare a preliminary journal for review and approval. Once approved, post to QuickBooks.
  • Complete monthly reconciliations in a timely and accurate manner:
    • Corporate Credit Card reconciliations
    • Membership reconciliations
    • Void check reconciliations
    • Outstanding invoice reconciliations
    • Other miscellaneous payment reconciliations as requested

Financial Records

  • Support the Finance Team in ensuring that financial record systems are maintained in accordance with Generally Accepted Accounting Principles and fund accounting.
  • Create, organize, and maintain financial files – this includes organizing and maintaining hard copy files and the scanning and creation of digital files as needed.

 

MANDATORY JOB QUALIFICATIONS

  • Bachelor’s degree in Accounting or related field
  • CPA preferred

 

REQUIRED WORK EXPERIENCE

  • Minimum of five years of experience in an accounting function (including A/R, A/P, travel and expenses, etc.)
  • Advanced skills in Quickbooks and Microsoft Excel
  • Financial accounting experience in a nonprofit organization or governmental entity is desirable.

JOB DESCRIPTION
SHPE is hiring an experienced, can-do Marketing Coordinator to support and optimize our association’s digital marketing programs. Duties for this role include implementing strategies that align with SHPE’s overall marketing goals; creating and executing targeted campaigns (i.e. membership, giving, career center, events, etc.); tracking campaign progress; developing various digital marketing materials; sourcing images; gathering, editing, and updating web content; digital marketing production; and handling general digital marketing activities.

Creative thinking skills and strategies are essential in driving SHPE’s narrative, enhancing our organization’s image, improving digital communication with constituents, and encouraging business growth through effective campaigns.

The ideal candidate for this role is creative and innovative, multimedia savvy, well-organized, and possesses excellent online technical and content writing skills. Our exceptional Marketing Coordinator has experience in website, social media, email marketing; and content development with basic design and coding skills.

The Marketing Coordinator works with key staff members and volunteers to develop and implement marketing and communication strategies addressing key constituencies (board members, members, sponsors, partner agencies, donors, volunteers, community supporters, local governments, regional leaders and others as appropriate). This role has five main functions:

  1. Achieve brand consistency and recognition with a high standard for internal and external communications in support of ongoing operations, programs and development, as well as, initiatives related to the SHPE strategic plan and beyond.
  2. Oversee the design and production of digital materials, including but not limited to the following: e-newsletter (¡Oye SHPE!); convention and event sponsorship brochures and information kits; annual report; mass and segmented e-communications; various fundraising and sponsor and volunteer relations materials; event invitations; press kits; and coordination with third-party vendor that produces SHPE SmartBrief.
  3. Implementation of SHPE’s social media strategies across all platforms.
  4. Coordinate SHPE e-communications to members and segmented audiences.
  5. Coordinate basic internal graphic design projects such as event signage and annual holiday cards.

The ideal candidate has a can-do, proactive attitude with strong written and verbal communication skills to be able to keep up with the many stakeholders they will be working with. A keen eye and attention-to-detail are of utmost importance to successfully execute this role.

DUTIES AND RESPONSIBILITIES
All activities of the Marketing Coordinator are guided by SHPE’s mission and vision and overall marketing goals and strategies.

  • Social Media:
    • Execute SHPE’s social media strategy across all platforms (Facebook, Twitter, Instagram, YouTube, LinkedIn, etc.) including targeted social media campaigns, news, and announcements.
    • Generate, edit, publish, and share creative daily social content (original text, images, video or HTML) that builds ROI and encourages engagement;
    • Create editorial calendars and syndication schedules;
    • Continuously improve results by capturing and analyzing the appropriate social data/metrics, insights and best practices, and then acting on the information;
    • Optimize and refresh company pages within each social media platform to increase the visibility of company’s social content;
    • Moderate all user-generated content in line with the moderation policy for each community;
  • Web:
    • Manage content development and updates for all SHPE National websites including but not limited to: shpe.org and sub-sites including the National Convention website, the Regional Leadership Development Conference websites, and the NILA website.
    • Oversee webpage maintenance ensuring consistency of new information uploads and providing a quick-turn around on website updates and enhancements.
  • Email Marketing
    • Produce SHPE monthly e-newsletter, ¡Oye SHPE!
    • Write, design, and execute all email communications.
    • Manage and maintain contact lists.
    • Monitor email marketing success.
  • Tracking & Monitoring Online Traffic
    • Monitor and catalog all media coverage of SHPE activities across print, broadcast, and social media outlets.
    • Call attention to trends and make recommendations for response, to improve engagement and grow audience.
  • Project Management:
    • Serve as staff liaison/lead for National Convention STAR Awards committee. Including creation and launch of submission portal, execution of email campaign, oversight of awardee bio creation, and awards program creation.
    • Lead signage committees for SHPE National Convention and National Institute for Leadership Advancement (NILA), ensuring accurate representation of all sponsorship and adhering to SHPE style guide and standards.
  • Overall:
    • Coordinate with SHPE’s contracted marketing, design, and web development firms.
    • Co-serve as staff liaison to marketing vendors including graphic artists, production specialists, copy writers, and agencies
    • Plan and maintain separate marketing timelines for all SHPE National events.
    • Formulate and implement a process to evaluate the success of various strategies and provide recommendations and a plan for improvement.
    • Maintain the Marketing email account; ensuring timely responses to all inquiries.
    • Serve as reviewer and collaborator on all marketing materials, both digital and print, providing regular input and timely responses.
    • Daily review of all online communication vehicles to ensure SHPE brand/image consistency.
    • Coordinate with all staff to ensure consistency in all organizational communications.
    • Create and manage photographer and step & repeat schedule for all SHPE National events.

EDUCATION & EXPERIENCE

JOB DESCRIPTION
SHPE is a workforce and economic development engine. The Career Services Coordinator is of paramount importance and responsible for creating and strengthening mutually beneficial relationships between SHPE members and partner organizations that rely on a STEM workforce. The Career Services Coordinator manages all aspects of SHPE’s Career Services operations, which includes overseeing SHPE’s premiere online job board and career center for Hispanics in STEM. This position will work closely with members of SHPE’s Industry Partnership Council, corporate-based chapters and membership development staff and will report to the Sr. Director of Development and External Relations. S/he will provide comprehensive careers services pre and post SHPE’s National Convention and the seven Regional Leadership Development Conferences. The ideal candidate will demonstrate success in growing and advancing career services to a wide array of constituents varying from members and sponsors within a nonprofit organization. The Coordinator provides friendly, courteous and professional service by assisting our corporate partners with a variety of functions including career services inquiries by general phone, e-mail and internet. The Coordinator actively promotes SHPE’s career services by identifying customer needs, recognizing moments of opportunity, and providing the appropriate solution to meet customer requests in an effort to close on all customer service and sales opportunities.

RESPONSIBILITIES

  • Establish a formal Career Services strategic plan and systems within SHPE that targets: 1) Members seeking internships, employment and career advancement; and 2) Companies, government agencies and partner organizations that rely on a STEM workforce.
  • Through strategy, branding and marketing, unleash the potential of SHPE’s online career portal that includes the premiere job board for Hispanics in STEM.
  • Manage and communicate SHPE’s career portal and job board analytics.
  • Constantly monitor, analyze, and evaluate the scope of services offered through SHPE career services and reports on results produced. Plan, implement, and direct new programs under the supervision of the Senior Director of Development & External Relations that lead to an increase in the number of Hispanic students and professionals employed by companies and organizations that rely on a STEM workforce.
  • Establish data collection and analysis procedures to track and validate interview and placement statistics generated through SHPE career fairs and the career portal.
  • Develop and manage a data-driven portfolio of SHPE “key employers” comprised of the top companies and organizations that consistently hire and employ a high volume of SHPE members.
  • Foster strategic relationships with members of SHPE’s Industry Partnership Council (IPC), with new and existing sponsors and with a range of fortune 500 companies, government agencies and other partner organizations to ensure Career Services resources are effectively executed to match and fulfill their hiring needs.
  • Work with corporate-based chapters to define their workforce development and hiring needs and ensure timely execution of all benefits and deliverables.
  • Coordinate with internal membership and programs staff to enhance member programs and resources to build their confidence in all aspects of the job search process.

  • Respond to general career services inquiries in a timely manner.

Identify upselling opportunities for sponsors and collaborate with SHPE’s sales team.

The Program Manager is responsible for managing and executing SHPE programs and initiatives including the ongoing development and management of technology and innovation programs, website content, and online learning.  RESPONSIBILITIES

Program Leadership and Management

  • Manage multiple, complex project deliverables for multiple audiences; create project proposals, charters, and work plans to support pilot and program implementation
  • Maintain and update SHPE materials on various platforms; and assist with quality review protocols to ensure SHPE’s materials are high quality, relevant and up-to-date
